How to Add a User to Your Google Business Profile — The Right Roles Explained.

Adding team members, agencies, or virtual assistants to your Google Business Profile gives them the access they need without sharing your personal Google account credentials. Here's how to invite users, which role to assign, and what each role can and cannot do.

Access Management

The right person gets the right access. You stay in control.

🔐

Never Share Your Password

The safest way to give someone access to your GBP is through the official user management system — not by giving them your Google account email and password. If they leave or you end the relationship, revoking access takes 10 seconds.

👑

Three Roles, Three Levels

Owner has full control — all settings, all edits, add/remove users, delete the profile. Manager can make most edits but cannot delete the profile or manage owners. Analyst can view insights and reports but cannot make any changes. Assign the minimum role that gives someone what they need.

🏢

Agency Access Made Simple

When giving an agency access to manage your GBP, add them as a Manager — they get everything they need to optimise, post, and respond to reviews, without the ability to delete your profile or lock you out.

📊

Analyst for Reporting Partners

If a data analyst or reporting partner needs to see your GBP performance metrics without making changes, Analyst access is perfect — view-only without any risk of accidental edits.

Revoke Access Instantly

When an employee leaves or you stop working with an agency, remove their access from your GBP immediately. Revocation is instant — they lose all access the moment you remove them. No waiting, no negotiation.

🔄

Multiple Owners Allowed

A GBP can have multiple Owners — useful for business partnerships where both partners need full control. Each Owner has equal powers, including the ability to remove other Owners. Set up multiple Owners carefully.

Step by Step

How to add a user to your GBP — step by step

1
Log Into Your GBP
Go to business.google.com and select your business profile. You must be an Owner of the profile to add users.
2
Open Profile Settings
Click the three-dot menu (⋮) near your profile name, or navigate to 'Business profile settings' → 'Managers'.
3
Click 'Add managers'
You'll see a list of current users. Click 'Add managers' or the person+ icon to invite a new user.
4
Enter Their Google Email
Type the Google account email address of the person you want to invite. They must have a Google account — it doesn't have to be Gmail, but it must be a Google-managed email.
5
Select the Correct Role
Choose Owner (full control), Manager (most editing permissions), or Analyst (view-only). For most team members and agencies, Manager is the appropriate role.
6
Send the Invitation
Click 'Invite'. The person receives an email invitation and must accept it to gain access. Until they accept, they appear as 'Invited' in your user list.
7
Verify Access After Acceptance
Once accepted, confirm their access level is working correctly. For agencies, AmpliPulse recommends testing that they can publish a post and respond to a review before assuming everything is configured correctly.
FAQ

Adding users to GBP — every question answered.

What's the difference between Owner and Manager?
+
Owners have complete control: they can edit all profile information, manage users (add, change roles, remove), transfer primary ownership, and delete the profile entirely. Managers can do everything except manage users and delete the profile. For agencies and team members, Manager is almost always the correct role.
Can I add my marketing agency as a Manager?
+
Yes — this is the standard way to give an agency access to your GBP. Add them as a Manager using their Google account email (or a Google account they create specifically for client management). They get everything they need to manage your profile without the ability to delete it or lock you out.
What if the person I invited doesn't have a Google account?
+
They need to create one. A Google account doesn't have to be a Gmail address — any email address can be used to create a Google account at accounts.google.com. Once they have a Google account, you can invite them using that email.
How do I remove someone's access?
+
Go to Business profile settings → Managers, find the person you want to remove, click the three-dot menu next to their name, and select 'Remove'. Their access is revoked immediately. They cannot undo this — only an Owner can restore their access.
Can I change someone's role after they've accepted?
+
Yes — go to your Managers list, find the user, and change their role using the dropdown or edit option. The change takes effect immediately. You can upgrade a Manager to Owner or downgrade an Owner to Manager.
What happens if my only Owner leaves and I lose access?
+
This is a serious situation — if there's no Owner with active access to the profile, regaining control requires Google's Business Profile Support. You'll need to prove you're the legitimate business owner with documentation. To prevent this: always have at least two Owner-level accounts on any business-critical GBP, and ensure at least one Owner is a permanent business email (not a personal email that might be abandoned).
